Version History, Review and Rollback

Every change your team makes to a collection's ranking, pins or rules is saved as a version. See what changed, sign it off, or roll the collection back.

What Gets Saved

A version is saved whenever someone on your team changes a collection in the panel:

  • saving a new order on the sort page,
  • uploading a pin list,
  • changing the collection's settings,
  • updating many collections at once,
  • rolling the collection back.

Each version holds the full state of the collection at that moment: the order of its products, the pins, and its rules, which are the sort type, the sort frequency and the auto-unpin settings.

Scheduled re-sorts are not stored one by one. They follow the rules of the collection, and those rules are what the versions keep.

See What Changed

Every version is compared with the one before it. The version list shows at a glance how each version differs, and the version's own page shows the details:

  • which products were added to the collection and which were removed,
  • how many products moved,
  • how many pins changed,
  • which rules changed, with the old and the new value side by side.

Each version also names its author and the time it was saved.

Example

  • Sort 14 moved, 2 pin changes Pending
  • Settings Sort frequency changed Approved
  • Rollback 31 moved, 5 pin changes Approved
A version list: what kind of change it was, what it changed, and whether it has been reviewed.

Review and Sign-Off

A manager can approve or reject a version and leave a comment. The version then shows its status (pending, approved or rejected) together with the reviewer and the time of the review.

Review is a sign-off on a change that is already live. It does not hold the change back. When a version is rejected, a rollback is one click away.

Roll Back to Any Version

A manager can roll a collection back to any version in its list. The rollback restores the product order, the pins and the rules as they were in that version.

  • Products that joined the collection after that version are placed at the end, unpinned.
  • The rollback is saved as a version of its own, so it can be undone as well.
  • The restored order is sent to your store like any other change.
  • From then on the collection follows the restored rules. If they sort automatically, the next scheduled sort applies them to current data, and the restored pins stay in place.

How Long Versions Are Kept

Merchandiser keeps the most recent versions of every collection and removes older ones over time. Approved versions are the exception: they are never removed, so a state that has been reviewed can always be restored.

Change Log and User Activity

Next to the versions, every collection has a change log. It lists each change of its sort type, sort frequency, pinned products and auto-unpin setting with the user and the time, and it highlights the values that changed.

The same records can be opened per user, as a list of everything that person changed, and exported as a spreadsheet.

Frequently Asked Questions

Is every automatic re-sort saved as a version?

No. Versions are saved when someone on your team changes a collection in the panel: its order, its pins or its rules. Scheduled re-sorts follow those rules and are not stored one by one.

Does a change need approval before it goes live?

No. A change is applied when it is saved. Approval is a sign-off that a manager records on the saved version, with a comment if needed.

What does a rollback restore?

The product order, the pins and the rules of the collection (sort type, sort frequency and auto-unpin settings) as they were in that version. Products that joined the collection later are placed at the end.

Who can roll a collection back?

Managers and admins of the account. Every panel user can open the version list and see what changed.
